The Athletics Administrative Assistant provides critical support to the American Heritage athletics administration. Applicants must be efficient and comfortable with critical tasks and confidential information, including organizing and managing team budgets. They must have the ability to multi-task, while maintaining schedules and managing administrative support. They must be resourceful, a good problem solver, organized and able to assure completion of workload in a timely manner.
This is a part-time, hourly position. About 15-20 hours per week.

Detail-oriented and comfortable working in a fast-paced office environment
Ability to receive multiple assignments and prioritize completion on a timetable
Ability to analyze and revise operating practices to improve efficiency
Superior organization skills and dedication to completing projects in a timely manner
Expertise in Microsoft Word, PowerPoint and Excel; QuickBooks experience (or willingness to learn) is preferred
Duties/Responsibilities Include, But Not Limited To
Arbiter referee payments
Reconcile sports rosters; reconcile roster with RMA registrations; assist in payment collection
Keep track of sports teams' budgets - on Quickbooks and give coaches reports pre, mid, and post season as needed
Process coach stipends
Upload invoices
Count cash boxes during sports seasons
Set up Square card readers for sports taking gate fees/concessions
Divvy transaction classifications
Coach reimbursem*nts
Coach contracts
Create sports team registrations on Veracross and updated prior to each season as needed
Financial aid invoicing and coach credit invoicing in Quickbooks
Transportation calendar management and scheduling - get bus driver, coordinate with teams, etc.
Athletics Scheduling Meeting and associated task -help keep athletic calendar up to date, keep track of early release for athletes, etc.
Athletics admin meetings and associated tasks - take notes of action items
Communications for athletics department
USSA Assistant - pay referees, invoice schools, other misc. tasks
Other miscellaneous assignments
